What is an AI agent? When does it differ from a chatbot or automation?

An AI agent is an AI application that can read information, use tools when needed and complete multiple steps within defined boundaries to reach a goal. A chatbot may be enough if you only need to answer questions; automation may suffice for work that follows fixed rules. An agent makes sense when the task's path changes with incoming information and requires actions across different tools.

How does it work on a customer request?

Consider the message “My order is late, and I also want to change my address.” A simple chatbot explains the delivery policy. An automation adds the message to the support queue. An agent, if authorized, checks the order status, finds out whether an address change is still possible, and chooses the appropriate next step.

If the situation is clear and low-risk, it can answer the customer directly using approved information. If the shipment has left, the data conflicts or an exception is needed, it summarizes the record and hands over to the right employee. There is no universal rule that “AI leaves every message to a human”; what it can do in each situation is defined in advance.

How are response and handoff boundaries defined?

  • Information source: Which documents, product records or order data can the agent access?
  • Permission to act: Does it only answer, or does it create records, book appointments or change addresses?
  • Handover threshold: Who handles uncertain information, exceptions, complaints or decisions involving large amounts?
  • Record: Can you later see which information it used and which action it took?

Five test questions before building an agent

  1. Does the job end with one response, or does it require checking several systems and taking action?
  2. Does the decision path actually change according to the request?
  3. Is the information the agent will use current and accessible?
  4. Are the actions it may take independently defined in writing?
  5. How will an incorrect answer or action be detected and corrected?
